‘Really impressive’: The AMC plans and executes industry’s only UK trade show

Four years of planning culminated in three flawless days at a trade show planned by The Association Management Company (The AMC) for a client.

As the only exhibition in the UK for the industry in which the client operates, it is a rare opportunity for large and small businesses to meet and discuss ideas, as well as seeing new products or services.

Needless to say, it was crucial everything ran smoothly.

The Coventry Building Society Arena was the venue for the event which saw approximately 3,000 visitors attend and more than 60 businesses exhibit.

Usually held once every three years, the exhibition was delayed by one year as a result of Covid-19 restrictions in 2021 adding to the complexities of planning the event, for which The AMC was responsible for all aspects.

This included:

  • Selling floor space to exhibitors – the event was sold-out
  • Booking speakers – 20 talks took place in a purpose-built seminar theatre
  • Arranging a celebrity guest – a well-known TV presenter attended on day two of the event
  • Liaising with contractors and the venue
  • Planning exhibitor awards – judging and prize presentations took place for six categories
  • Promoting the event to visitors – updates were sent via print, email, and social media with a record number of people registering to attend

In the lead-up to the exhibition a total of 23 meetings were held – on a monthly basis – with a group of client volunteers to discuss ideas and ensure everything was running smoothly.

With a huge amount of experience on offer from those present in the meetings – some of whom who exhibit at the event and some of whom who attend as visitors – these sessions always bring good ideas and suggestions to the forefront, as well as being an important point of contact between the client and The AMC during the planning process.

We are fastidious when it comes to planning, particularly when it comes to such a big event. We used our project management system to make sure no stone was left unturned. On-site we utilised a 16-page minute-by-minute schedule, which was sent to all helpers and suppliers in advance.
